Duplicates Filter | Excel Add-in

Typical Scenario

Your list is full of duplicate records with each duplicate set made up of multiple rows. However, you are not sure which fields contain those duplicate values. You want to identify those duplicate fields by filtering your list using a different combination of fields as criteria. After filtering your list for duplicates using the duplicate fields selected, your next task is to edit non-duplicate fields of the first/last instance of each and every duplicate set based on the other records in the set. Finally, you can delete other instances of duplicates in each duplicate set, getting only unique records by using a combination of the two options:

1. the First/Last Occurrances and Unique Records option.
2. the Delete Invisible Records After Filtering option.

5. Duplicates Filter also comes in handy when you need to identify the first or last order by each customer. (Use a customer name column as a duplicate column)

6. You can delete either filtered data or unfiltered data at the end of the process in a single step.

7. Duplicates Filter comes with a practice file (Tools>Find Duplicates>Import Practice File).

How It Works

Duplicates Filter assumes that the first row of your list includes your column headings.

  • To filter your list in-place:

    1. Click a cell in your list.

    2. Click Tools>Find Duplicates>Filter on the menu.

    3. Select your columns with duplicate values from the list on the left hand side.

    4. Indicate how you want your list filtered by selecting an item from the list on the right side.

    5. Select the Filter the list in-place option.

    6. If you wish to delete records, select either the Delete visible records after filtering option or the Delete invisible records after filtering option.

    7. Click the Filter button.


  • To copy your filtered data to a different location:

    1. Click a cell in your list.

    2. Click Tools>Find Duplicates>Filter on the menu.

    3. Select your columns with duplicate values from the list on the left hand side.

    4. Indicate how you want your list filtered by selecting an item from the list on the right side.

    5. Select the Copy to another location option.

    6. Select the top left hand cell of your destination range.

    7. Click the Copy To button.

    8. Click the Put criteria at top of filtered data check box, if you want your filter criteria copied to your destination.

    9. Click the Filter button.
